Key Information 

At Pick’s Organic Farm, we’re proud to run a growing network of high-quality “Your Local” Farmers', Producers' & Rural Crafts Markets – designed to celebrate the best of local food, farming, handmade goods, and sustainable living.

We’re delighted to confirm our first four venues and launch dates:

  • Rufford Abbey – 2nd Sunday of each month, starting Sunday 14th September 2025
  • University of Lincoln – 2nd Wednesday of each month (term time), starting Wednesday 8th October 2025
  • University of Nottingham – 3rd Wednesday of each month (term time), starting Wednesday 15th October 2025
  • University of Leicester - 4th Wednesday of each month (term time), starting Wednesday 22nd October 2025

We invite you to apply for a trading space at one or more of our carefully curated events. All applications are reviewed to ensure alignment with our values, safety standards, and market mix. We aim to balance food, craft, produce, and community-focused offerings to provide a well-rounded experience for the public.

Pricing


Our base fee for trading at a “Your Local” market is:

Food Stalls

£30 - 35 per standard 3m x 3m pitch (ground space only) depending on the venue.

Non-food stalls

£15 - £20 per standard 3x3m pitch (ground space only) depending on the venue.

Final costs may vary depending on your setup. Additional charges may apply for:

  • Larger pitch sizes

  • Access to electricity (if available - not all venues can offer this)

  • Hire of gazebos or tables (subject to availability)

  • Additional requirements such as water access or specialist positioning

All prices will be confirmed upon application review. Full payment is due prior to the market date and is subject to our terms and conditions.

Terms and Conditions

1.  Booking Procedure & Confirmation

  • All bookings must be submitted via our official application form and will only be confirmed upon receipt of payment. Verbal bookings are not accepted.

2. Insurance Requirements

  • Traders must provide a valid certificate of Public Liability Insurance (minimum £5 million) at least 7 days prior to the event.

  • Where relevant, proof of Product Liability, Employers’ Liability, Gase Safe for LPG / PAT testing certificates for electrical equipment must also be provided.

3. Product & Trader Eligibility

  • Traders must be producers, growers, crafters, or makers of the goods they sell. Products should ideally be local, ethical, and made or finished in the UK (unless an exception is made by the organisers for reasons of creating a balanced market).

  • We reserve the right to refuse applications that do not align with the ethos of our markets (local, sustainable, artisanal).

4. Arrival, Departure & Vehicle Access

  • To protect everyone involved, vehicle access is strictly controlled. Traders must adhere to designated arrival and departure times. Vehicles will be banned from certain areas of certain sites. We reserve the right to seek compensation for any damage caused to grassed or protected areas. Where such damage is directly attributable to a trader or their representative, the trader shall be liable for all reasonable costs incurred in reinstating the area to its original condition to the satisfaction of the venue.

  • All vehicles must be removed from the market site by a stated time (e.g. 30 mins before opening) and not return until authorised to do so by market staff.

  • Late arrivals may forfeit their stall without right of refund.

5. Stall Presentation & Equipment

  • All stalls must be presented to a professional standard. Signage should be clear, and any homemade or domestic gazebos may be refused entry if deemed unsafe.

  • All gazebos must be secured with weights of at least 12–15kg per leg. Garden gazebos or insufficiently weighted structures may be refused.

  • Food vendors must have hand sanitiser available for customer use.

6. Waste & Rubbish Disposal

  • Traders must remove all rubbish from the site. On-site bins are not to be used for trade waste. A fine or cleaning fee may be applied if waste is left behind.

7. Emergency Contact Requirement

  • We ask all traders to provide a secondary emergency contact who is not present at the event. This is required in the event of injury, illness, or early departure.

8. Health, Fire & Food Safety

  • Traders offering cooked food must have appropriate fire safety equipment (e.g. fire extinguisher, fire blanket) and a first aid kit on-site.

  • All food businesses must comply with the Food Safety Act 1990, Regulation (EC) 852/2004, and be registered with their local authority.

  • If applicable, PAT testing certificates for any electrical appliances must be provided upon request.

9. Payments, Invoicing & Cancellation

  • Payment is due on invoice, no later than 28 days before the event.

  • Cancellations made less than 21 days before the event will not be refunded and full payment will still be required. This includes no-shows.

  • If a trader cancels more than 21 days in advance, any payment made may be carried forward to a future event but no refunds will be given.

  • All bookings are legally binding and traders remain liable for full payment, regardless of attendance.

10. Adverse Weather & Force Majeure

  • If a market is cancelled due to weather or other force majeure (e.g. pandemic, national emergency), fees may be transferred to a future date but are not refundable.

11. Security & Martyn’s Law (Protect Duty) Compliance

  • Traders may be required to take part in event briefings relating to security, suspicious activity, or emergency response procedures.

  • Compliance with the Protect Duty (Martyn’s Law) is mandatory. Traders must follow any site-specific risk and resilience guidance.

12. Behaviour & Conduct

  • Abusive, aggressive, or discriminatory behaviour will not be tolerated. Any trader acting inappropriately will be asked to leave immediately and may be banned from future markets.

13. Right to Refuse Applications or Cancel Bookings

  • We reserve the right to refuse a booking or cancel a trader’s place (with or without refund) in the event of breach of these terms or behaviour that undermines the event.

14. Data Protection & Communication

  • We collect and process your personal data in line with the UK GDPR and Data Protection Act 2018.

  • By applying, you agree to receive communications about your booking and relevant future events. You can unsubscribe at any time by letting us know in writing / email.
